Overview
LetMeCall LLC (“LetMeCall,” “we,” “our,” or “us”) provides an AI-powered voice and messaging automation platform for home service businesses. This Privacy Policy explains what information we collect, how we use it, and your rights with respect to that information.
By using our platform or services, you agree to the practices described in this policy. If you do not agree, please discontinue use of our services.
Information We Collect
We collect information in three ways: information you provide directly, information collected automatically, and information provided by our business customers about their end clients.
Account & Business Information
When you create an account, we collect your name, email address, company name, billing address, and payment information. We also collect business configuration data such as your AI agent settings, call scripts, and scheduling preferences.
Phone Numbers & Contact Data
Our platform collects phone numbers of your business’s clients for the purpose of making outbound calls and sending appointment-related SMS messages on your behalf. These numbers are provided by you or your clients during the appointment booking process.
Call & Message Records
We record call audio, generate transcripts, and store SMS message history for the purposes of call analytics, quality monitoring, and platform improvement. Recordings are associated with your workspace and accessible only to your account.
Usage & Technical Data
We automatically collect information about how you interact with our platform, including IP address, browser type, pages visited, feature usage, and error logs. This data is used to improve platform performance and stability.
How We Use Your Information
We use the information we collect to:
- Provide and operate the LetMeCall platform and its features
- Make outbound AI-powered phone calls on behalf of your business
- Send transactional SMS messages — such as appointment confirmations and photo-upload links — to your clients on your behalf
- Generate call transcripts, analytics, and performance reports
- Process billing and manage your subscription
- Provide customer support and respond to inquiries
- Detect and prevent fraud, abuse, or violations of our Terms of Service
- Comply with applicable laws and regulatory requirements, including telecommunications regulations
We do not sell your personal information or your clients’ contact data to third parties. We do not use client phone numbers for any purpose other than delivering the services you have configured.
No mobile information will be shared with third parties or affiliates for promotional or marketing purposes. Text messaging originator opt-in data and consent are not shared with, sold to, or rented to any third parties or affiliates under any circumstances.
SMS Communications
Account Notifications We Send to Our Business Users
As a B2B platform, LetMeCall sends operational SMS notifications directly to our business users (account holders) about activity in their own account — for example, a new appointment booked by their AI receptionist, a completed call that did not result in a booking, appointment reminders, photo uploads received from a caller, and the status of their SMS registration. Business users opt in to these notifications by enabling the SMS notification channel in their account settings and entering their mobile number. They can opt out at any time by disabling SMS in their settings or by replying STOP. Message frequency depends on the activity in their account.
Types of SMS Messages We Send
LetMeCall sends the following categories of SMS messages on behalf of our business customers:
- Appointment Confirmations — a confirmation of a booking made or updated during the call, often including a link to the appointment details
- Photo Upload Links — a secure link the caller can use to send photos related to their service request
- Service Notifications — operational updates directly related to the requested service
How Recipients Opt In
End recipients (clients of our business customers) provide express consent verbally during a phone call. When a recipient speaks with an AI voice agent powered by LetMeCall — for example, to book or confirm an appointment — the agent asks whether the recipient agrees to receive SMS messages at their phone number, and the recipient grants consent verbally. This consent is captured and stored as part of the call record, along with the date and time it was given.
A typical consent request during the call is: “Is it okay if we send you text messages about your appointment or service at this number? Message and data rates may apply, message frequency may vary, and you can reply STOP at any time to opt out.” SMS messages are sent only to recipients who have granted this consent. Businesses using our platform are responsible for ensuring their AI agents request and capture this consent before any SMS is sent.
How to Opt Out
Recipients can opt out of SMS communications at any time by replying STOP to any message. After opting out, no further SMS messages will be sent to that phone number from the associated business. To re-subscribe, reply START.
For help, reply HELP to any message or contact us at vkim@letmecall.ai.
Message Frequency
Message frequency is low and tied to the calls a recipient makes. A recipient typically receives a single text after a call — for example, one appointment confirmation or photo-upload link. Additional texts are sent only if the caller makes another request.
Carrier Disclosure
Message and data rates may apply. LetMeCall uses Telnyx to transmit SMS messages. Neither Telnyx nor any wireless carrier is liable for delayed or undelivered messages. Carriers are not responsible for any messages sent by LetMeCall or its business customers.
For Business Customers: Your Obligations
If you use LetMeCall to send SMS to your clients, you are responsible for: (a) obtaining lawful consent from your clients before submitting their phone numbers; (b) honoring opt-out requests promptly; (c) only using our messaging features for the permitted purposes described above. Misuse of SMS features may result in account suspension.
Data Sharing
We share your data only in the following circumstances:
Service Providers
We use third-party services to operate our platform. These include Telnyx (telephony and SMS delivery), Supabase (database infrastructure), Stripe (payment processing), and OpenAI (AI voice processing). These providers access data only as necessary to deliver their services and are contractually bound to protect it.
Legal Requirements
We may disclose information if required by law, court order, or regulatory authority, or if we believe disclosure is necessary to protect the rights, safety, or property of LetMeCall, our users, or the public.
Business Transfers
In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you before any such transfer and give you the option to delete your account.
Data Retention
We retain your account data for as long as your account is active. Call recordings and transcripts are retained for 12 months by default; you can delete them earlier from your dashboard at any time.
SMS message logs are retained for 90 days. Client phone numbers associated with appointments are retained for the duration of your subscription and deleted within 30 days of account closure upon request.
Security
We protect your data using industry-standard measures including TLS encryption in transit, AES-256 encryption at rest, role-based access controls, and regular security audits. Our infrastructure is hosted on SOC 2-compliant providers.
No system is completely secure. If you believe your account has been compromised, contact us immediately at vkim@letmecall.ai.
Your Rights
Depending on your location, you may have the right to:
- Access a copy of the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data (subject to legal retention obligations)
- Object to or restrict certain processing activities
- Data portability — receive your data in a machine-readable format
To exercise any of these rights, email us at vkim@letmecall.ai. We will respond within 30 days.
If you are a California resident, you have additional rights under the CCPA, including the right to know what personal information we have collected and to request its deletion. We do not sell personal information and do not discriminate against users who exercise their privacy rights.
Children's Privacy
Our platform is designed for use by businesses and their adult clients. We do not knowingly collect personal information from individuals under the age of 13. If you believe we have inadvertently collected such information, contact us at vkim@letmecall.ai and we will delete it promptly.
Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the “Last updated” date at the top. For material changes, we will notify you by email or through a prominent notice in the platform at least 14 days before the change takes effect.
Continued use of LetMeCall after the effective date of any change constitutes your acceptance of the updated policy.
